Submit your timesheet

Check your period, submit it for approval, and what Submitted, Changes requested, Approved and Locked mean.

Your timesheet adds up your entries for a period — usually a week — so you can check them and send them for approval. Approved hours are what your organisation exports to payroll or billing. TimeLogger tracks hours; it never works out pay.

Who can do this:MemberEveryone who tracks time. Your manager (or an admin) approves it.

Review your period#

Go to MeMy timesheet. The grid shows hours per project and day, with daily totals and a grand total — the same totals your approver sees. Use the arrows and Today to move between periods.

TileWhat it means
Total trackedEverything on the timesheet, including self-reported offline time. If your workspace rounds time, the rounded total is shown underneath.
ActiveTime with keyboard or mouse activity. It excludes self-reported time.
Days with timeHow many days in the period have any time recorded.
SubmittedWhen you submitted it, or “Not yet”.

Something wrong? Choose Edit entries to jump to MeMy entries and fix it first — see Review and fix your entries.

Weeks, days or months

Your workspace decides how long a timesheet period is: a day, a week, half a month or a month. The page follows that setting, so buttons read “Submit week”, “Submit day” and so on.

Submit it for approval#

  1. Choose Submit week

It’s at the top right of the timesheet.

  2. Confirm

The confirmation shows the total you’re submitting and the dates. Choose Submit. Your approver gets a notification, and the status changes to Submitted.

You can submit a past period too — even one you never opened. If it has time but no timesheet yet, it shows “Not submitted yet” with a Submit button.

What happens next#

StatusWhat it means
DraftNot submitted yet. You can change anything.
SubmittedWaiting for your approver.
Changes requestedYour approver sent it back with a comment, shown at the top of the timesheet. Fix your entries and choose Resubmit.
ApprovedYour approver signed it off. These are the hours that get exported.
LockedThe period is closed. Changes now need an admin to unlock it, which is audited.

Changing time after approval#

If you edit an entry in an approved (not locked) timesheet, TimeLogger warns you first and the timesheet goes back to Submitted for re-approval. Approved hours never change without your approver seeing it.

Rounding#

Some workspaces round time for reporting — for example to the nearest 15 minutes. When that’s on, the Total tracked tile shows the rounded total and the rule, like “45h 45m rounded (15 min, nearest)”. Your recorded entries are never changed; rounding only applies to totals and exports.

What your approver sees#

What the member sees

Your approver sees the same grid, totals and entries you do, plus any edit history. They can approve it, or send it back with a comment that you’ll see on your timesheet and in your notifications.

Questions#

I submitted by mistake. Can I take it back?
Ask your approver to send it back with Changes requested. You can still edit entries while it’s submitted; if they approve first, editing sends it back for re-approval.
Who approves my timesheet?
Your manager or a team lead with approval rights, or a workspace admin if you don’t have one. Whoever it is gets a notification when you submit.
Do I get reminded?
Yes — a reminder arrives when last period’s timesheet hasn’t been submitted. You can change how reminders reach you; see Notifications and the weekly summary.
