Managing your team
Export approved hours
Hand approved hours to payroll or billing: layouts, Harvest and QuickBooks import files, Xero and Deel recipes, rounding and the API.
TimeLogger stops at approved hours: it never computes pay, rates or invoices. The approved-hours export is how those hours reach your payroll, billing or accounting tool — as a spreadsheet, a ready-to-import file, or through the API.
Download approved hours#

Layouts#
| Layout | What it means |
|---|---|
| By member and period | Totals: one row per person per timesheet period. |
| By project | Totals: hours per project, with code and client. |
| By task | Totals: hours per project and task. |
| One row per entry | Date, person, project, client, task, note, start, end and hours. |
| Per person, day, project and task | The usual shape for timesheet imports, such as Xero and Deel. |
| Harvest time import | Harvest’s CSV template columns. |
| QuickBooks time activities | QuickBooks Online time-activity columns. |
Rounding#
If your workspace rounds time (for example to the nearest 6 minutes), each entry is rounded in the export. Tracked time itself is never changed. Set it up in Timesheet settings.
Import recipes#
Check the import preview
QuickBooks#
- Pick QuickBooks time activities and download the CSV.
- Import it into QuickBooks Online with your time-activity importer (or QuickBooks Time’s timesheet import). The columns are Date, Employee, Customer, Service Item, Description and Duration.
- Customers use QuickBooks’ Client:Project naming, the service item is the task (or “Hours” when there’s no task), dates are MM/DD/YYYY and durations are H:MM.
Harvest#
- Pick Harvest time import and download the CSV.
- In Harvest, open the time import in an administrator’s Import/Export settings and upload the file.
- Columns: Date (YYYY-MM-DD), Client, Project, Task, Notes, Hours, First name, Last name. Entries without a client use your workspace name, and entries without a task use “General”, because Harvest needs both.
Xero#
Pick Per person, day, project and task. Use Xero’s timesheet import where your plan offers it, or a connector app, mapping Date, Email (to match the employee), Project and Hours.
Deel#
Pick Per person, day, project and task and submit the hours per day for hourly contracts, matching people by email. Teams with many contractors usually automate this through the API.
The API#
To automate the hand-off, create an API key with the exports:read scope and call the approved-hours export with the same layouts. The API recipe tab has a ready-made request, and the full reference is under Public API in the app.
Questions#
Why is my export empty?
Can the export include rates or amounts?
