Managing your team
Approve timesheets
Approve or send back submitted timesheets, approve in bulk, lock periods, and review entry changes that need approval.
Approval is where tracked time becomes hours you can hand off. Each person submits a timesheet for the period; you check it and approve it, or send it back with a comment. Approved (and locked) timesheets are the only ones included in the approved-hours export.
| Person | Period | Status |
|---|---|---|
| Aditya Kumar | 14 Sep – 20 Sep | Submitted |
| Rohan Das | 14 Sep – 20 Sep | Submitted |
| Vikram Rao | 14 Sep – 20 Sep | Submitted |
| Ananya Iyer, Sneha Patel | 14 Sep – 20 Sep | Approved |
Open Approvals#
Go to WorkspaceApprovals. The tabs split timesheets by status: Waiting for you, Approved, Changes requested and Locked. Each row shows the period, tracked and active time, and how long it has been waiting.
Review and approve#
Open the details
Choose ⋯ → Open details on a row to see the whole period: each day, each entry, and what was edited or self-reported.
Choose Approve
From the row or from the details panel. The timesheet moves to the Approved tab and the person is notified.
Approve several at once#
On Waiting for you, tick the boxes on the left of the rows and choose Approve selected. Each one is approved and recorded separately.
Send a timesheet back#
Choose Reject
The dialog is titled Request changes from ….
Write what needs fixing
The comment is required, for example “Tuesday afternoon is unassigned — please attribute it to a project.” The person sees it on their timesheet.
Send it
The timesheet moves to Changes requested. When they fix it and submit again, it comes back to Waiting for you.
Lock and unlock a period#
Locking freezes an approved timesheet so the numbers you exported can’t change. Owners and admins choose ⋯ → Lock period. Locked entries can’t be edited, added or deleted by anyone.
To correct a locked period, choose Unlock period… and give a reason. Unlocking is recorded in the audit log, because the period may already have been exported.
When approved time changes#
If someone edits, adds or removes time inside an approved timesheet that isn’t locked yet, the timesheet goes back to Waiting for you for re-approval. The person is warned before they save. Approved hours never change silently.
Entry changes to review#
Some policies say people need approval before changing their own time (the policy setting Editing own time → Changes need approval). Their edits then wait in an Entry changes to review card at the top of Approvals, showing the entry before and after, and their reason.
| Action | What it means |
|---|---|
| Accept | The change is applied to the entry and recorded. |
| Decline | The entry stays as it is. A comment is required and is shown to the person. |
The card only appears when something is waiting. There are none in the demo workspace.
Reminders#
Every Monday at 10:00 in each person’s own time zone, people with an unsubmitted timesheet for the last period get a reminder, and approvers with timesheets waiting get one too. Each person can choose in-app or email for these under My data & privacy.

Questions#
Why can’t I approve my own timesheet?
Can I edit someone’s entry instead of rejecting?
Does approving send hours to payroll?
