Getting started
Invite your team
Invite people one by one or from a CSV, set their role, and see what each person receives.
Everyone joins a workspace by invitation. Each person gets an email with a personal link, sets their own password, and sees what the workspace collects before anything is recorded. You can invite people one at a time or many at once from a CSV file.
Invite one person#
Open Members
Go to WorkspaceMembers and choose Invite member at the top right.
Fill in who they are
Enter their Email and Name, pick a Role and an Employment type. Optionally place them in a Department, give them a Manager, add them to Teams, or choose a specific Tracking policy.
Send the invite
Choose Send invite. You’ll see Invitation emailed to …. The link works once and expires in 7 days.
| Field | What it means |
|---|---|
| Role | What they can see and do. Members see only their own data; managers and leads see the people in their teams; admins manage the workspace; auditors have read-only access with no screenshots. |
| Employment type | Employee, Contractor or Freelancer. Used for filtering and reports only — it never changes what is tracked. |
| Department, Manager, Teams | Decide who can see this person’s time and which department or team policies apply to them. |
| Tracking policy | Leave it on “Inherit from workspace, department and team” unless this person needs different rules. Policies resolve from the workspace, then department, team, person and device. |
Invite many people from a CSV#
Use this when you’re onboarding a whole team. Nothing is sent until you’ve checked a preview.
Open the import
On WorkspaceMembers, choose Import CSV.
Paste your list or choose a file
The columns are
emailandname, and optionallyrole, department, teams(separate several with;),manager(their email) andpolicy. Up to 500 rows.Preview
Choose Preview. Each line shows Ready, Skipped (for example, someone who is already in the workspace) or Needs a fix with the reason, such as an unknown role or department.
Send
Choose Send N invites. Only the lines marked Ready are sent; fix the others and import them again.

Manage invitations#
People who haven’t joined yet show the status Invited in the Members list. From the row’s menu you can:
- Resend invite — emails a fresh link. The previous link stops working.
- Revoke invite… — the link stops working and the person is removed from the list. You can invite them again later.
What the person you invite sees#
They open the link in the email
The page says Join Acme Studio (your workspace’s name) and asks them to choose a password.
They choose Join workspace
They’re signed in straight away.
They read what is collected — before anything is recorded
They see exactly what the workspace collects and what it never collects. Their desktop agent doesn’t capture anything until they have acknowledged this notice.
What the member sees
If the link doesn’t work#
Links expire after 7 days and work only once. If someone sees This invite can't be used, choose Resend invite for them.
Questions#
Does the invite email come from TimeLogger?
Can someone belong to two teams?
Can I change someone’s role after they’ve joined?
Do invited people count as seats for billing?
Something unclear or out of date? Tell your workspace admin, or write to the TimeLogger team from Settings — we update these guides with every release.
