Managing your team

Reports

Summary, Productivity, Entries, Worth a look and Approved hours — with filters, derived metrics and CSV, Excel or PDF export.

ForOwnerAdminManagerTeam leadAuditor

Reports show where your team’s time went, how it was spent, what’s worth a look, and which hours are approved. Everything is limited to the people in your scope, and every report can be filtered and exported.

Who can do this:OwnerAdminManagerTeam leadAuditorMembers get the same reports about themselves under My reports, without the team filters.

Open Reports#

Go to WorkspaceReports. There are five tabs:

TabWhat it means
SummaryTracked and active time grouped by member, project, task or day, plus derived metrics and the activity-level distribution.
ProductivityProductivity score, screen productivity, classification coverage, meeting time, time by hour of day, and top productive and unproductive apps and sites.
EntriesEvery time entry in the range, one row each.
Worth a lookData-quality patterns that may be worth a conversation.
Approved hoursThe export of approved time for payroll or billing.
The Summary report for Neha’s department this week.

Group and filter#

  1. Pick the range

Use the date button at the right — This week, Last week, Last 7 days and more, or a custom range.

  2. Group the Summary

Choose Member, Project, Task or Day. Use the person picker next to them to focus on one person.

  3. Narrow it with Filters

Choose Filters. A number on the button shows how many filters are on.

The Filters popover on the Summary tab.
FilterWhat it means
Team, DepartmentOnly people in that team or department. These narrow your scope — they never show people outside it.
Project, TaskOnly time on that project. Task appears once you pick a project.
SourceTimer, Automatic, Manual entry or Offline (self-reported).
ModeManual, Automatic or Hybrid — the tracking mode the time was recorded in.

Derived metrics and the distribution#

Under the chart, the Summary shows ratios for the current selection. They describe time, not people.

MetricWhat it means
Active ratio / Idle ratioActive ÷ tracked, and (idle + away) ÷ tracked.
UnassignedTime with no project ÷ tracked.
Meeting loadTime in meeting apps ÷ tracked.
Self-reportedOffline entries ÷ tracked.
Task concentrationTime on the top 3 tasks ÷ tracked.
Capture coverageCaptured foreground time ÷ agent and timer time.
Approval rate / latencyApproved ÷ submitted timesheets, and the median hours from submit to approve.
Project shareEach project’s share of tracked time.

The Activity-level distribution shows how tracked time spreads across activity levels in 10-minute windows, with meetings left out.

Scores are estimates

Activity level measures interaction, not value, and productivity depends on how apps are categorised. The formulas are published under Published formulas. Use them to start a conversation, never as the only basis for a decision.

Export a report#

Every tab has an Export menu with CSV, Excel (XLSX) and PDF. Exports use exactly the range and filters you have on screen.

Export the report exactly as filtered.

Long ranges#

Ranges longer than 62 days, and Entries exports, are built in the background so you can keep working. You’ll see “Preparing your export…” and then “Export ready” with a download. The link is private to you and the file is deleted after 24 hours.

Every export is recorded in the audit log. To hand approved hours to payroll or billing, see Export approved hours.

Questions#

Why don’t my numbers match someone else’s?
Each person sees only their scope. A department manager and a team lead looking at the same week see different people.
Can members see these reports?
Yes, about themselves: My reports has the same Summary, Productivity, Entries, Worth a look and Approved hours tabs.
Why is productivity shown as insufficient?
Less than 60% of active time is in categorised apps. Label the common apps in App categories to fix that.
