Roles and who sees what

The six roles, whose time each can see, and why everyone sees everything recorded about themselves.

Every person in a TimeLogger workspace has one role. The role decides two things: what they can change, and whose time they can see. Visibility is always worked out on the server from the org chart — departments, teams and who reports to whom — so a screen can never show more than the role allows.

The six roles#

RoleWhat it means
OwnerEverything an admin can do, plus the workspace’s most sensitive settings: compliance profile, regional rules, Silent Mode acknowledgement, billing changes and requiring two-step verification. Only an owner can change or archive another owner.
AdminRuns the workspace day to day: members, departments and teams, policies, devices, settings, approvals, locking periods, exports and the audit log. Sees everyone in the workspace.
ManagerSees and approves time for their people (see below), can correct their entries, review screenshots and activity, start a live view where policy allows it, manage projects and app categories, and invite new members.
Team leadSees the members of the teams they lead, approves their timesheets and reviews their screenshots and activity. Can’t edit other people’s time or start a live view.
MemberTracks their own time and sees everything recorded about themselves — nothing about anyone else.
AuditorRead-only access across the whole workspace for audits: members, reports, policies and the audit log. Auditors never see screenshots, webcam photos or live view.

Whose time each role can see#

Managers and leads see a scope of people, not the whole workspace. Their scope is everyone who matches any of these:

Scope follows the org chart automatically. Move someone to another department or team and the right managers and leads see them straight away — you never share data person by person. Set this up in Members, departments and teams.

Transparency parity#

Whatever a manager can see about someone, that person can see about themselves: the same timeline, screenshots, activity, scores, flags and policy. Every member page in the app says so at the top: “Everything on this page is also visible to …”

What the member sees

Members see their own dashboard, timesheet, entries, screenshots, activity and reports (under My reports), every “Worth a look” flag raised about them, and exactly what their tracking policy collects on My data & privacy. They are told when a live view starts and see an indicator for the whole session.

What’s always recorded#

  • Every edit to someone else’s time, every approval, rejection, lock and unlock.
  • Every live view (start, first view, end) with its reason, and every webcam photo request.
  • Screenshot deletions, policy changes and role changes — with the values before and after.

Questions#

Can a manager see someone outside their department or teams?
No. The server refuses the request, even if someone types the address directly. Ask an admin to change the org chart if a person should be in your scope.
Why can’t our auditor see screenshots?
Auditors check records and process, not people’s screens. Media is limited to owners, admins, managers and leads for people in their scope.
Can a team lead approve timesheets?
Yes, for the members of teams they lead. They can’t edit those people’s entries — a manager or admin does that — and nobody can approve their own timesheet.
